Responding to rude email
—I Ching
When
someone sends a rude or angry email, how should one respond? Here are possible
options:
1) No reply
2) Change the
subject/deflect
3) Polite but firm
answer
4) Defer for a period
of time.
5) Agree but reply,
stating that it might have been said better.
6) Agree politely.
Although it is
usually best to pause before replying to impolite, terse, or insensitive
emails, this delay should not be protracted. If the sender is a manager or a
person of influence or authority, then a normal time to reply should not be
delayed.
When not to respond
Certain emails do not warrant a
response by Netiquette standards. It is still prudent to insure a response is
positively not required or may have some implications.
1) To a spam
2) After one thank-you
(i.e., know when to stop)
3) When being provoked.
4) To unsolicited
messages with no specific relationship
5) To a Bcc other than the sender
6) If you are replying
to a Bcc, do not use “reply to all.”
7) Do not “reply to
all” when no value is presented to all recipients.
8) To “out of the
office” automated messages
9) When sender has set
a noreply@***.com—this is done when
the addressee is typically sending a message strictly for instruction purposes.
Rather than leave the From field blank, which might cause a message to be
ignored, placing this generic address in the From field encourages the
addressee to read it. Usually the email will have information on making
alternative contact.
